Charges and Maintenance dataset.</p>\n<ol>\n<li>Create the Job, select <strong>Functions>Create Job</strong>.</li>\n</ol>\n<p>Select Yes to continue, or No to cancel the operation.</p>\n<p>Enter the Award date and select OK to continue.</p>\n<p>Select OK.</p>\n<blockquote>\n<p><strong>Note:</strong> The Job Details screen will automatically appear.</p>\n</blockquote>\n<ol start=\"2\">\n<li>Select the <strong>Mobilisation Request</strong> tab, open the record(s) and select the <strong>Manifest Assets</strong> tab and view/enter the Asset Number(s) within the column shown:</li>\n</ol>\n<p><img src=\"/img/sales/ug009/ug009-001.png\" alt=\"Manifest Assets\"></p>\n<p>Once the Asset Numbers have been assigned to the Mobilisation Request(s), return to the Job Details screen.</p>\n<ol start=\"3\">\n<li>Create Maintenance record by selecting <strong>New Record>Maintenance</strong> or by selecting the <strong>Maintenance</strong> tab and hitting your <strong>Insert</strong> key on your keyboard.</li>\n</ol>\n<p>Complete the relevant fields on the Maintenance (hdr): -</p>\n<blockquote>\n<p><strong>Note:</strong> (Pink = System Generated, Blue = Mandatory):</p>\n</blockquote>\n<table>\n<thead>\n<tr>\n<th>Field</th>\n<th>Description</th>\n</tr>\n</thead>\n<tbody>\n<tr>\n<td>Maintenance Title:</td>\n<td>Enter Service and Repair for example</td>\n</tr>\n<tr>\n<td>Asset Number:</td>\n<td>Enter the Asset Number or use the binocular lookup.</td>\n</tr>\n<tr>\n<td>Planned and Unplanned:</td>\n<td>This will default to Unplanned</td>\n</tr>\n<tr>\n<td>Job Number:</td>\n<td>This will be defaulted if added from a job record, if not Enter the Job Number manually</td>\n</tr>\n<tr>\n<td>Approval By User:</td>\n<td>This locked field will be populated when the Maintenance record is completed.</td>\n</tr>\n<tr>\n<td>Cert Status:</td>\n<td>This will default to ‘Pending’ and will be updated when the record is completed.</td>\n</tr>\n<tr>\n<td>Frequency:</td>\n<td>Entering a Frequency will set the Expiry Date. This can be used to flag to Clients that Equipment is due for a service</td>\n</tr>\n<tr>\n<td>Validity:</td>\n<td>This will be populated by the Frequency</td>\n</tr>\n<tr>\n<td>Date Issued:</td>\n<td>Date the goods are received</td>\n</tr>\n<tr>\n<td>Date Due:</td>\n<td>System generated when date issued is entered</td>\n</tr>\n<tr>\n<td>Date Carried Out:</td>\n<td>Only complete this field when the maintenance is complete</td>\n</tr>\n<tr>\n<td>Service Job:</td>\n<td>Tick box field that should be selected for Service and Repair jobs.</td>\n</tr>\n</tbody>\n</table>\n<ol start=\"4\">\n<li>Select the Job Description tab and enter a brief overview of the work to be carried out. This text will appear on the Maintenance Report:</li>\n</ol>\n<p><img src=\"/img/sales/ug009/ug009-002.png\" alt=\"Job Description\"></p>\n<ol start=\"5\">\n<li>Enter the parts that are required for the service and repair. (See <a href=\"ug403\">How to Add and Complete Adhoc Maintenance</a> and <a href=\"ug401\">How to Create a Maintenance Template</a> User Guides for more information):</li>\n</ol>\n<p><img src=\"/img/sales/ug009/ug009-005.png\" alt=\"Maintenance Tasks\"></p>\n<ol start=\"7\">\n<li>If any 3rd party spares/services are required you can create a Requisition against the job, see the following user guides for help:</li>\n</ol>\n<p><a href=\"ug302\">How to Raise a Requisition</a><br>\n<a href=\"ug304\">How to Review a Requisition and Request Approval</a><br>\n<a href=\"ug305\">How to Approve a Requisition</a><br>\n<a href=\"ug306\">How to Raise and Send a PO</a></p>\n<ol start=\"8\">\n<li>Select the Job Findings tab to enter a description which will appear on your Maintenance Report and Quotation:</li>\n</ol>\n<p><img src=\"/img/sales/ug009/ug009-006.png\" alt=\"Job Findings\"></p>\n<p>To add additional Maintenance records, select Next from the toolbar. You should have a Maintenance record for each Asset on the Job.</p>\n<ol start=\"9\">\n<li>Once all information has been added to the job, you can print/email the quotation to submit to the client if required. Make sure you review the quotation to verify all charges you have applied to the job have pulled through.</li>\n<li>All Maintenance records to be actioned will be accessible to users within the Asset Maintenance role within their User Dashboard.</li>\n</ol>\n<p><img src=\"/img/sales/ug009/ug009-007.png\" alt=\"Maintenance Due\"></p>\n<h2>How to Update a Service and Repair Job</h2>\n<ol start=\"11\">\n<li>You can locate the Maintenance records to be actioned by either selecting the Dashboard button which will show for users within the Asset Maintenance role, or by locating the Job and selecting the <strong>Maintenance</strong> tab:</li>\n</ol>\n<p><img src=\"/img/sales/ug009/ug009-008.png\" alt=\"Maintenance\"></p>\n<ol start=\"12\">\n<li>Open the relevant records and enter the Date Carried Out on the Maintenance (Hdr) tab.</li>\n</ol>\n<p><img src=\"/img/sales/ug009/ug009-009.png\" alt=\"Maintenance\"></p>\n<ol start=\"13\">\n<li>Go to the <strong>Job Findings</strong> tab and view/enter details of the job results if required:</li>\n</ol>\n<p><img src=\"/img/sales/ug009/ug009-010.png\" alt=\"Job Findings\"></p>\n<ol start=\"14\">\n<li>Go to the <strong>Job Issues</strong> tab, open up each record or select Open All, select the <strong>Bin Issue</strong> tab:</li>\n</ol>\n<p><img src=\"/img/sales/ug009/ug009-011.png\" alt=\"Bin Issue\"></p>\n<p>Enter the Qty Allocated.</p>\n<ol start=\"15\">\n<li>Select Refresh, all parts should change from Red to Yellow:</li>\n</ol>\n<p><img src=\"/img/sales/ug009/ug009-012.png\" alt=\"Bin Issue\"></p>\n<ol start=\"16\">\n<li>Select <strong>Functions>Complete Issue</strong> from the toolbar, the colour will now change from Yellow to Green and this will update the Issue Qty column.</li>\n<li>Go to the <strong>Maintenance Tasks</strong> tab.</li>\n</ol>\n<p>You can Open All and select the Completed checkbox, save and close, or, check the completed box within the grid view as shown:</p>\n<p><img src=\"/img/sales/ug009/ug009-013.png\" alt=\"Bin Issue\"></p>\n<ol start=\"18\">\n<li>If 3rd party spares/services have been used, complete the requisition details. See <a href=\"ug307\">How to Raise a GRN</a> user guide for help receipting in the goods.</li>\n<li>Once all maintenance items have been completed, spares assigned etc. Select <strong>Functions>Complete Record</strong>.</li>\n</ol>\n<p>Select Yes to continue or No to cancel the operation.</p>\n<p>Select OK.</p>\n<p>The Maintenance record will now lock.</p>\n<p>A new Maintenance record with a status of Scheduled will be added.
